Introduction

The Uploaded Files tab is where you and your team can upload, download and manage your projects assets and the company's ongoing assets.

  • The Project Files would generally be referring to product logos, photos, fonts, documents and more that the client would share with the Production Team. These are files specifically for that one project

  • The Brand Hub is different in that its meant for files that will be used regularly and are to do with the Clients branding. This is the client logos, brand guidelines, fonts, and more.

Because its possible the 2 can overlap, there is the ability to send files from Projects to Brand Hub.

The files store here are usually not templates that editors and animators create and work from daily.

Project Files

By default when visiting the Uploaded Files tab, Project Files is what is opened. You can navigate between Project files and Brand Hub via the left hand menu,

Its quite easy to upload files to the Project, just like many platforms we offer the ability to upload either by dragging and dropping the files into the dropzone, or by clicking the dropzone to open up the file browser.

  • Depending on the file size it could take a few moments to upload. If its very large a message will appear warning that it could take awhile.

  • You can upload as many files as you like at a time.

  • Most file types will be accepted. On the rare occasion something is rejected (as seen by a red error) let the tech team know and it will be sorted if security permits.

  • Often might be best to upload files in one zip, to keep them all together, this is often common when it comes to fonts.

The Project files can be contributed by anyone in the team or Visual Domain. The common workflow would be Project Managers receiving assets and needing to share them with Editors/Animators.

We provide basic, but helpful information for each file;

  • File name - this will match the name of the file that was uploaded from the computer

  • Uploaded Date

  • Uploaded by

  • File Size

Other Features:

  • View - click this to view the file in your web browser and/or download it.

  • Delete - Here you can delete any files that you no longer need

  • Add to the brand hub - this will make a copy of the file and send it to the Projects Office Brand Hub. This will happen immediately, regardless of file size.

Brand Hub

You can navigate between Project files and Brand Hub via the left hand menu,

Much like the Project Files, you can simply upload files by dragging and dropping or clicking the box. For the most part its exactly the same functionality as that of Project Files, except stored on the Office level. This means all future and current projects will have these uploaded Brand Hub files visible on its project Uploaded Files page.

The Brand Hub can be contributed by anyone in the team or Visual Domain. The common workflow would be Project Managers receiving client branding assets and needing to share them with Editors/Animators.

Or if Editors have made their own assets, they should be sharing them back to the VMS for future use.

What can the client see?

On the Client Hub, clients can see the files uploaded to the Project Files. However, they do not currently have visibility over the Brand Hub and its files.

The functionality clients have for the Project Files is limited, but still helpful.

  • View files

  • Delete files

  • Upload files (through chat)

While clients do not have a direct upload function like there is in the VMS, they can use the chat box to upload any file. All files uploaded in the chat will automatically be stored in the Project FIles.
