Internal Video Review (Changes)
Introduction to the Internal Video Review feature
The Visual Domain Production Team will be able to share and leave feedback on videos via the VMS by making use of the Internal Review functionality. The key purpose of this feature is to ensure there is a secure place away from clients prying eyes, that doesn’t disrupt the VMS workflow or use a third-party application.
It’s important to note, while the comments and videos cannot be seen by clients via the usual video page or client hub. If this internal platform is shared with them, they will see it just as our team do. Best to not copy/paste the internal pages URL and share with anyone.
The internal video review feature will allow for:
Sharing of videos internally
Leaving feedback conveniently and making use of existing feedback tools like;
Timecoded comments
On video drawing
Attachments
Scheduling of comments
Reviewing comments & attachments
Compare video versions
And more (pretty much everything clients can do, we can do internally)
With the use of subtle blue colouring and warning icons, we differentiate between internal and external comments. Allowing for staff to see both types of comments in one place, but be assured clients can’t do the same.

Every video uploaded to the VMS will automatically have access to the internal page. Simply navigate to it via one of these locations:
3 Dot menu on every listed video, “Internal Review” button
Via the changes page which your directed to when clients submitted changes, or the 3 dot menu “changes” button
Edit and animate Calendar events
With a internal review page open, you will be provided with little to no functionality apart from watching the video, delivering it or adding comments. To add comments click the “Click here to start button”
You will be presented with the same form the clients use, just with a blue highlight to indicate its internal to Visual Domain.
With this form, you can add comments, set in and out time codes and add any drawings to the current frame you wish. All of which should help communicate the change you after to the editor.
You can also upload any attachments you like for the editor to use.
Once you have finished adding comments, you can click schedule at the bottom of the page, it will then redirect you to the form to add a Changes calendar event which you can assign to the editor. (This is the same old system to schedule changes)
Unlike the clients version of this page, you can continue to add more comments at any time you don’t get locked out. So if you forgot a comment, simply jump back in and add another and the editor will see it on the list to do.
Editors and Producers alike can visit this page at any time, to add comments or view comments to action in the edit. It will always be accessible via the same locations (3 dot menu, calendar)
Once changes have been scheduled and then actioned by editors. The internal page will start to list all the videos uploaded as ‘revisions’. Each revision will list the comments both internal and external if present. With the blue highlight and a warning symbol to indicate internal changes.
Make sure to deliver the video so the client can see it in the Client Hub! This process is the same as always, they just now wont see internal videos or comments.
FAQ
Clients cannot see videos you do not specifically send the delivery email for.
If you deliver a later video, this does not enable previous videos to be visible either.
There is no means to allow clients to see older videos that were never delivered.
Clients cannot see comments or attachments that were submitted via the internal page.
But Visual Domain staff can see both internal and external via the internal page
There are no means to convert an internal comment into an external comment or visa versa
You cannot delete individual video versions
The VMS Projects page will always promote the latest uploaded video to be the visible version. For example, the thumbnail popup video will always see the latest version.
This means unless the video is delivered, the client could be seeing a different version then you are.
The Video Library will only show the latest delivered video, just the same as clients see.
There is no specific status for internal changes being actioned, it will simply remain the current status for that video job. This is something we will evaluate the need for as usage increases.
Eventually, the old VMS changes functionality will be retired and all moved into the new VMSX platform, this is the first step towards that and it will allow us to understand how best to approach the change.
